How to make high performance conference calls

Love it or hate it, conference calls have unmistakably become a part of many people’s lives over the past few weeks. For many of you, this is nothing new as you communicate with teams internationally on a weekly or daily basis. For others, this new practice takes some getting used to.

Regardless of which group you are in, most of us have faced some of the following challenges:

  • Keeping meetings short,
  • Feeling that everyone’s time was well-spent,
  • Keeping things on track,
  • Making sure everyone is engaged and not distracted or reading emails,
  • And of course, dealing with internet connection issues.

The question then becomes: What can we do? How can we make conference calls effective, engaging and time worthy? The good news is that there are a number of actions you can take as both a leader and a participant to achieve more efficient and high-powered conference calls.

Here are three simple tips to get you started and that will lead to high-performance conference calls:

Prepare. Seems simple enough, yet many people don’t send out an agenda or have a clear idea of what they want to speak about. They wing it. This inevitably leads to lost time and lost productivity.

Identify a clear objective. What is the purpose of the meeting? Notice I used the singular there. Trying to cover too many topics in one meeting is like trying to cook a cake by throwing all your ingredients in at once. You’ll be let down by the end result and you’ll have to spend more time and resources going back and doing it over again.

Keep it to the essentials. If you have more than six people in your call, you may want to evaluate why. Is each person going to contribute during the meeting? Could you convey the same information in a memo that takes significantly less time on both ends? This is not always an option but if you can control it, keep it to the essentials.
